Privacy policy

CrewCal lets photography teams see when their crew are free. It is run by Fluential Studio in Sydney, Australia. We handle personal information under the Australian Privacy Principles. Questions or requests: hello@fluential.au.

What we collect

• Your account: your name, email address, the teams you belong to and your role in them.
• From calendars you connect (Google, Outlook or Apple): only the start and end time of each event, whether it is busy or unconfirmed, and the suburb from its location. We read 8 weeks ahead. We do not keep event titles, descriptions, attendees or full addresses from your personal calendar.
• From a team's shoots calendar (connected by that team): each shoot's title, time, location and the email addresses of guests, so a shoot can be matched to the crew member it was sent to.
• Access to your calendar: the sign-in token the calendar provider gives us (or your Apple app-specific password). These are stored encrypted and used only to read your calendar.

Who can see it

Members of a team you have joined can see your busy and unconfirmed times and suburbs, but only while you share availability with that team. Nobody else can. We do not sell your information, use it for advertising, or share it with anyone except the services that run CrewCal: Supabase (database and sign-in), Vercel (hosting) and our email provider. Those services may store data outside Australia.

Google user data

CrewCal's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We request read-only access to your calendar and use it only to show your availability to your teams and to match shoots you are invited to. People never read your Google data, except when you ask us to help with a problem.

Your choices

• Disconnect a calendar at any time from My calendars & shoots. We delete its busy times and our access to it (for Google, we also cancel the access on Google's side).
• Stop sharing with a team, or leave it, from the same page.
• To see, correct or delete everything we hold about you, email us and we will do it within 30 days.
